Booking Terms

These terms explain the quotation and booking process for travel arranged by Magical Exploits Safaris Ltd. Read them alongside your dated quotation, the applicable supplier conditions and your booking documents. A booking is confirmed only when we issue explicit confirmation after the required acceptance, payment and supplier reconfirmation.

1. About these terms

Magical Exploits Safaris Ltd is a Kenya-based safari and travel operator. These terms cover the booking process for safaris and individual travel services we arrange.

The services, dates, inclusions and arrangements for your own journey are set out in your quotation and confirmed booking documents. Our Booking Information page explains the practical steps from an initial request to travel preparation.

2. Enquiries and quotations

An enquiry is a request for assistance, not a booking. An enquiry reference or acknowledgement confirms receipt only. A quotation is a proposal and is not itself a confirmed booking.

Viewing a package, sending a request or receiving a quotation does not reserve accommodation, flights, vehicles, guides or other services. You can begin with Plan My Safari or Contact for an individual service.

Published package FROM prices are VAT-inclusive. The relevant package page shows its current FROM price; your dated quotation sets out the price and arrangements for your requested travel dates and party.

3. Quote validity

Each quotation states its own validity period. There is no universal validity period covering every service or journey.

Once a quotation expires, price and availability need to be reconfirmed. Supplier changes may also require updated pricing before a booking is confirmed. If the proposed arrangements change, review the revised quotation and applicable conditions before accepting.

4. How a booking becomes confirmed

A booking becomes committed only after all four steps have taken place:

  1. You accept the quotation and applicable terms.
  2. The required payment has been received.
  3. The relevant suppliers have been reconfirmed.
  4. Magical Exploits issues explicit booking confirmation.

Payment received does not mean booking confirmed. A payment acknowledgement alone does not establish that every supplier or service is confirmed. Your explicit booking confirmation identifies the arrangements confirmed for you.

5. Deposits and balance payments

Your quotation states the deposit or other payment required and the applicable deadline. There is no universal deposit percentage.

The accepted quotation also states any remaining balance and its payment deadline. A booking made close to departure may require full payment. Please ask about anything unclear in the payment schedule before accepting the quotation.

6. Supplier availability

All proposed services depend on the relevant availability. Accommodation, room categories, air seats, vehicles, guides and activities may change before confirmation.

Neither an enquiry nor payment by itself guarantees that a particular service is held. Supplier reconfirmation and our explicit booking confirmation are required as described above.

7. Changes you request

Before confirmation, we can consider changes to a proposed itinerary or quotation during planning. Revised arrangements remain subject to availability, any necessary repricing and revised supplier terms.

After confirmation, requested amendments depend on supplier availability, supplier rules and operational feasibility. Additional supplier charges or changed prices may apply. Where reasonably practicable, we will tell you about the changed cost before an amendment is finalised. Not every requested change can be accepted.

8. Cancellations

Cancellation treatment is specific to your quotation and booking. Different confirmed components may have different supplier conditions, including services that become partly or fully non-refundable.

There is no single public cancellation-percentage table applying to every booking. Review the cancellation conditions for your arrangements before acceptance and contact us if you need them explained. If you wish to cancel, contact us with your booking reference so the applicable conditions can be considered.

9. Refund handling

Where a cancellation permits a refund, the amount is determined under the applicable confirmed booking and supplier terms. It may reflect amounts actually recoverable, non-refundable supplier charges and sums already irreversibly committed.

A request to cancel does not automatically result in a full refund. We do not promise a universal refund percentage or processing period for every service.

10. No-shows, unused services and missed arrangements

A no-show or unused confirmed service does not automatically create a refund entitlement. Any recoverable amount depends on the applicable booking conditions, supplier terms and actual recoverability.

This can affect missed flights or transfers, unused accommodation nights, missed safari movements, late arrivals, incorrect traveller information or failure to follow confirmed instructions. We may assist with recovery, rebooking or rearrangement, but cannot guarantee that an alternative or refund will be available. Tell us as soon as you know an arrangement may be missed.

11. Supplier cancellation and operational changes

If a supplier cancels or a confirmed component becomes unavailable, we may seek a reasonable comparable alternative where one is available. If the affected service cannot be delivered or reasonably replaced, treatment of the affected amount follows the applicable booking terms, relevant supplier terms and the amount actually recoverable where applicable.

Reasonable itinerary or timing changes may also be needed because of safety, weather, roads, wildlife movements, aviation schedules, park rules or supplier operations. Material changes will be communicated as soon as reasonably practical. These operational adjustments are used to respond to the circumstances of the journey; they are not a basis for arbitrary substitutions.

12. Accommodation and necessary substitutions

Public package descriptions explain the accommodation standard, location, room basis, meals and role in the journey. Your dated quotation identifies the actual proposed property, room category, occupancy and meal arrangement. The confirmed booking documents govern the final accommodation arrangements.

If a substitution is necessary, we seek to preserve the intended location, experience and practical role in the journey as closely as reasonably possible. A similar star rating alone does not establish that an alternative serves the same purpose. A page description or enquiry does not hold accommodation inventory.

13. Flights and ticketing

Flights remain subject to the relevant airline, fare and ticket conditions, including those affecting changes and cancellation. We can assist with reservations, ticketing, changes and coordination, but do not override airline rules.

Check your confirmed flight details and any applicable baggage and connection requirements. Schedules may change, and a scheduled service should not be assumed to be a private charter. See Flights & Ticketing for the assistance available.

14. Travel documents and entry requirements

Travel-document assistance helps you prepare and navigate the relevant process. Magical Exploits does not decide eTA or visa approval, processing time, admission or any immigration outcome, and cannot guarantee them.

Check the official requirements that apply to your nationality, route and circumstances before travel. Our Entry Requirements guide provides planning context and links to official information. Tell us promptly if a document or authorisation issue could affect your arrangements.

15. Airport Meet & Assist

Meet & Assist and authorised fast-track assistance depend on the airport, provider, relevant authority and availability for the particular service.

These arrangements do not permit immigration, customs or security controls to be bypassed. The scope for your flight and date must be confirmed. See Airport Meet & Assist for the available type of assistance.

16. Long-term car hire

Arrangements may be self-drive or chauffeur-driven. The quotation and booking documents confirm the exact vehicle, availability, insurance, deposit, mileage and use conditions, geographic restrictions and any driver arrangements.

Discuss your intended use and route before acceptance so the proposed arrangement can be checked against those requirements. A general vehicle-category description does not guarantee a particular make or model. See Long-Term Car Hire.

17. Accommodation reservations

For an accommodation-only reservation, the traveller's quotation and booking confirmation identify the property, room, occupancy, meal basis, price and availability. A request or proposed option is not a guarantee of inventory.

Room and meal arrangements can differ between properties and rates. Review the quoted basis and any applicable supplier conditions before acceptance. See Hotel Reservations for this service.

18. Wildlife and natural conditions

Wildlife sightings, migration crossings and predator activity cannot be guaranteed. Weather and Kilimanjaro visibility also vary naturally.

A planned activity or destination provides an opportunity to experience the area under the conditions at the time. It is not a promise of a particular animal, natural event or view.

19. Traveller responsibilities

Provide accurate traveller and travel information, review the quotation and confirmed documents, and tell us promptly about errors or changes that could affect your arrangements.

Check the applicable travel-document requirements and follow confirmed meeting, transfer and departure instructions. Raise practical requirements early enough for their effect on the proposed services to be considered. While travelling, follow the safety directions of the relevant guides, staff and authorities.

20. Communication and active-traveller support

Our Nairobi office hours are Monday–Friday, 08:00–17:00, and Saturday, 09:00–14:00. Offices are closed on Sundays and public holidays.

Active travellers have a separate emergency-support channel outside normal office hours. Use the emergency contact details supplied for your confirmed journey if urgent assistance is needed while travelling. This support is separate from physical office opening hours.

Keep your booking reference and the contact instructions supplied with your travel documents accessible during the journey.

21. Payment arrangements and the website

The website currently operates through enquiries and quotations. Online checkout and payment are not available. Submitting the form does not create an order, charge or booking.

Payment requirements and instructions are communicated for the individual quotation. If website payment methods are introduced later, the relevant information will be updated. Receiving payment will still be separate from issuing explicit booking confirmation after the required supplier checks.

22. Questions, concerns and contact

Contact us about a quotation, booking or concern using the details below. Include your enquiry or booking reference and a clear description of what needs attention. If a problem arises during travel, use the supplied support contact so it can be brought to our attention while arrangements are ongoing.

23. Version of these terms

The identifier below records this version of the terms. Read the version provided with your quotation and booking documents before acceptance, and ask us to clarify any differences you notice.

Later website updates are not, by themselves, confirmation of a change to your existing booking. Any change to confirmed arrangements needs to be addressed through the booking process described here.
