Travel Services

Airport transfer, Meet & Assist or airline mobility assistance: which help do you need?

A traveller with luggage beside a waiting vehicle.

Three travellers can all ask for “help at the airport” and need different services. One needs a vehicle outside arrivals. Another wants help finding the meeting point and coordinating the onward handover. A third needs assistance moving through the airport and boarding the aircraft.

Describe the task before choosing the service. Road transport, terminal coordination and airline mobility assistance can work together, but they are not interchangeable.

Airport transfers handle the road journey

An airport transfer coordinates pickup or drop-off between the agreed locations. The practical questions concern the flight, meeting point, vehicle, passengers, luggage and onward destination.

A driver meeting you at the agreed public pickup point should not be assumed to accompany you through every restricted part of the airport. The transfer’s scope needs to be clear, particularly if you have a connection at a different airport or require help before reaching the pickup point.

For a quote, provide the full flight details and local date, not just “morning arrival”. Include luggage and any requested child restraints or relevant vehicle-access needs. Use airport transfers for the road-service request.

Meet & Assist supports coordination through agreed stages

Meet & Assist may involve arrival, departure or connection coordination, terminal guidance and handover to an arranged vehicle. The exact scope depends on the airport, supplier arrangements, access and availability.

Magical Exploits can coordinate authorised fast-track where available and permitted, when specifically confirmed. That does not mean bypassing immigration, customs or security, and it is not a guarantee that queues or processing time disappear.

Ask where the service begins, where it ends and what happens between those points. “Assistance on arrival” is not precise enough if you need help at a particular stage. The Meet & Assist service page is the place to make that requirement clear.

Mobility assistance needs the airline’s process

If you need assistance with walking distances, stairs, boarding or a mobility device, contact the operating airline through its assistance process. Describe the support required for each stage and confirm how it is recorded for the actual flight.

Kenya Airways, for example, publishes a reduced-mobility assistance process and asks for advance arrangements for particular needs. Its requirements are specific to its services; another carrier’s process may differ. Kenya Airways reduced-mobility guidance

A paid Meet & Assist service should not be presented as a replacement for assistance available through the airline. It may complement the journey, but the handover and responsibilities need to be agreed. Medical suitability and personal-care requirements belong with qualified providers and the airline, not assumptions made in a transfer request.

Use three questions to identify the gap

Ask where you need help, what task needs doing and who is currently responsible. A traveller who can manage the terminal but cannot fit a folding mobility aid into an ordinary car needs a vehicle solution. A traveller who needs support before reaching arrivals needs more than a driver waiting outside.

Need First conversation
Vehicle from airport to hotel Transfer provider, with passenger and luggage details
Terminal guidance and onward handover Meet & Assist provider, with exact start/end scope
Walking, boarding or mobility-device support Operating airline’s assistance team
Help across several stages Coordinated plan naming each responsible provider

Do not feel obliged to buy all three services. Match the arrangement to the actual need.

Families may need coordination rather than special access

A family arriving with children, a pushchair and several bags may mainly need a correctly sized vehicle, a clear meeting point and time to load without confusion. Specify those requirements first.

If the family also wants help navigating the arrival process, ask whether Meet & Assist is available and what it covers. Luggage or porter coordination must be confirmed where applicable; it should not be inferred from a general service name.

A child-seat request belongs in the vehicle brief. The seat type, suitability and availability need an explicit response. Terminal support does not resolve that road-journey requirement by itself.

Airport changes expose unclear handovers

A journey from JKIA to Wilson can involve more than one provider. Establish who meets you, who drives, where you are handed over and who deals with an onward-flight problem.

Read the two-airport connection guide before relying on a tight schedule. Assistance can support coordination, but it does not guarantee that formalities, baggage or road travel will take a particular time.

If airline mobility assistance is arranged at both airports, clarify how the traveller moves between those services. The road vehicle and any loading support must be suitable for the actual requirements.

Confirm the arrangement in plain language

A useful confirmation describes the meeting location, covered stages, traveller needs, contact method and response to a flight change. It also identifies anything not included, such as a separate road transfer or a service requiring additional permission.

Share relevant information through the agreed channel, but avoid sending unnecessary sensitive records in a general public form. Start with the practical need; the provider can explain if further details are required through a suitable process.

Magical Exploits can help coordinate the travel-service elements. Decisions about entry remain with the authorities, and aircraft assistance requirements remain subject to the operating airline’s process.

Questions travellers ask

Does Meet & Assist include a car?

Only if the quotation includes the transfer. Ask for terminal support and road transport to be listed clearly so the handover has no gap.

Does fast-track mean we can skip immigration or security?

No. Only authorised arrangements that are available and permitted can be confirmed. Required procedures still apply, and a processing time cannot be guaranteed.

Should I book Meet & Assist to get wheelchair help?

Start with the operating airline’s mobility-assistance process. Then identify whether you need additional coordination or a suitable road transfer. Do not assume a paid service is necessary for airline-provided assistance.

Can assistance be added at the last minute?

Availability and operational requirements vary. Make requests early and wait for confirmation, especially when equipment, restricted access or more than one provider is involved.
