When your international bag is delayed before safari

If your international bag does not arrive with you in Kenya, deal with the baggage report and the onward safari as two connected tasks. The airline or its handling agent needs an accurate report; the travel coordinator needs to know how the delay affects your next movement. Neither should have to work from the assumption that the other has already resolved it.

Report the missing bag through the airline’s process

At the arrival airport, contact the relevant airline baggage desk or handling agent and follow its reporting instructions. Keep your baggage tag, flight information and a useful description or existing photograph of the bag available.

Obtain the file or report reference and the official route for updates. For example, Kenya Airways’ delayed-baggage guidance directs passengers to create a file at the desk, retain the reference and use its tracking arrangements. If you flew with another airline, follow that carrier’s current process.

If you have already left the baggage area, contact the airline through its official channel promptly for instructions. A report to your safari planner does not replace the airline’s baggage report.

Tell the transfer and journey coordinator what is happening

Notify the person handling your arrival if the baggage process is delaying the meeting. Give a brief factual update and a way to reach you; do not assume the driver can enter the baggage hall or resolve the airline’s process.

Then identify the next fixed movement. Are you staying in Nairobi, leaving by road, or checking in for another flight? The answer affects how much time is available to address the immediate problem.

Ask the coordinator to assess that movement while you work with the airline. Do not assume a scheduled safari flight will wait, or abandon a confirmed departure based only on an unconfirmed suggestion that the bag might arrive shortly.

Choose a realistic receiving arrangement

A moving safari itinerary is more complicated than one fixed city address. Give the airline accurate contact information and explain the dated sequence of your stays.

Before naming a remote camp as the delivery destination, check whether delivery there can be arranged, who can receive the bag and what happens if you have moved on. A promise to deliver to a local address should not be expanded into a guarantee of road or air delivery to any safari location.

Make a short list of what you need to continue: suitable clothing, basic toiletries and any essential personal items. Ask the airline and insurer what their current process allows and what evidence they require before assuming purchases will be reimbursed.

Keep relevant receipts and communications. Avoid buying a complete replacement safari wardrobe merely because the bag is delayed; assess what is needed for the next stage while the recovery position remains uncertain.

If essential medication or a medical device is missing, seek advice from the appropriate healthcare professional and relevant assistance provider promptly. Do not improvise a substitute based on a packing article or expect a remote camp to supply it.

Recheck baggage arrangements when the bag is found

A bag located by the airline is not yet a bag handed back to you. Establish its confirmed location, release or delivery instructions and the receiving contact before changing your travel around it.

If it needs a separate onward journey, check the applicable carrier or transport conditions. Your international baggage allowance does not establish what can be carried on a safari aircraft or sent separately.
